How to Get an Ausbildung Offer Letter from a German Employer

Unlike some countries’ hiring processes, German Ausbildung recruitment doesn’t typically end with an informal “offer letter” that gets followed by a separate contract later. In most cases, the training contract (Ausbildungsvertrag) itself is the offer — the document that confirms your place and the one your visa application depends on. Here’s how German employers actually get you to that point.

How the process usually runs

After you apply with a CV and cover letter, a German employer that’s interested will typically invite you to an interview — sometimes a first round by phone or video — focused on your motivation, personality, and fit with the company rather than technical knowledge alone. Some employers add a short trial working period or internship before making a final decision, particularly where practical aptitude for the trade matters.

The formal confirmation: the Ausbildungsvertrag

Once an employer decides to take you on, the standard next step is a written training contract, not a separate informal offer letter. Under §11 of the Berufsbildungsgesetz (BBiG), the employer must record the essential terms of the training relationship in text form immediately after it’s agreed, and no later than before training begins. At minimum, the contract records the trade and duration of training, the pay structure, and both parties’ details — see our full breakdown in what to check in the Ausbildungsvertrag.

Registration makes it official

After signing, the employer registers the contract in the official register of training relationships (Verzeichnis der Berufsausbildungsverhältnisse), held by the relevant Chamber of Commerce and Industry (IHK) for most trades, or the Chamber of Crafts (Handwerkskammer) for craft trades. This produces a registration confirmation — a document worth requesting a copy of, since it’s part of the standard visa document set.

Using the contract as your “offer” for visa purposes

The German Mission in India’s vocational training visa checklist lists the signed training contract, along with confirmation of registration, as a required document. In practical terms, this signed and (once registered) confirmed Ausbildungsvertrag functions as your formal offer for every downstream step — it’s what you submit with your visa application, and it’s the document immigration authorities check to confirm you have a genuine training place waiting in Germany.

If an employer sends an informal confirmation first

Some employers do send an initial written confirmation of intent (an Einstellungszusage or similar) ahead of the formal contract paperwork — for example, while final administrative details are being arranged. Treat this as encouraging, but not sufficient on its own for your visa application; you need the signed Ausbildungsvertrag itself, meeting the §11 BBiG minimum content, before applying for your national visa.

What to do once you have it

  • Check the contract against the §11 BBiG minimum requirements before signing.
  • Confirm the registration confirmation follows from your employer’s chamber.
  • Move on to assembling your full visa documents checklist.
  • Start or continue the apostille and translation process for your certificates if you haven’t already, since this can run in parallel.
